Overview

Meeting Settings provides meeting-owner information for the selected client. Internal SDRs see a read-only directory of active owners with contact details and scheduling links. Other authorized users retain the Owners, Reminders and Outcome Email management views.

How to use this page

  1. Choose the selected client

Use the header switcher, then open Settings > Meeting Settings. Internal SDRs see active owners for that client. If no active owners are configured, ask your manager or strategist to confirm the setup.

  2. SDRs: find an owner and copy their details

Review each owner's name, title, email address, phone and scheduling link, plus their territory states when set. Missing fields show Not provided. Copy email address, Copy phone and Copy scheduling link appear beside available values.

  3. SDRs: open scheduling guidance

Select an available scheduling link to open it in a new tab. Some stored links may be shown as text only. View calendar links and booking instructions opens Scheduling for the selected client. Confirm the client and owner before using booking instructions.

  4. Navigate Meeting Settings

In the management view, use the Owners, Reminders and Outcome Email cards at the top. The active card identifies the current section. Internal SDRs do not see these management tabs; links to Reminders or Outcome Email return them to the owner directory. The screenshot shows management navigation.

  5. Manage owners

With management access, use Owners to review routing coverage and readiness, add or edit an owner, and reassign future bookings before deactivating an owner. Select + Add Owner or Edit to set an owner's details and, outside a self-serve workspace, their Territory states, then save. Internal SDRs cannot make these changes; ask your manager or strategist to update the directory. On the enabled task-workflow client, team leads instead see Edit link on each owner. Enter the full scheduling link starting with https://, then select Save, or clear the field to remove the link. Other owner details stay read-only for them.

  6. Configure related messages

With the required management access, open Reminders for pre-meeting prospect reminders or Outcome Email for the deal-wide post-meeting owner update. Internal SDRs cannot save these settings or send tests.

Owners

Reminders
Management view only, subject to your existing access: Opens pre-meeting prospect reminder settings.
Outcome Email
Management view only, subject to your existing access: Opens the deal-wide post-meeting owner update settings.
+ Add Owner
Management view only, subject to your existing access: adds a meeting owner for the selected client, including Territory states when offered. Adding the name of a deactivated owner reactivates them and keeps their saved territory; use Edit to change it.
Edit
Management view only: opens an owner's details, including Territory states, for editing. Select Save to keep the changes.
Edit link
For client team leads on the enabled task-workflow client: opens one owner's scheduling link for editing. Save keeps the new link and Cancel closes it unchanged. A link that does not start with http:// or https:// is rejected.
Territory states (optional)
In + Add Owner and Edit. Leave it empty if the owner does not use territories. Tick states in the list (Search states filters it), or add a time zone group with + PT, + MT, + CT, + ET, + AKT, + HAT or + AT. Groups add whole states, so states split across two zones appear in both. Select all states adds every state and Clear territory empties it; select a selected state to remove it. Type or paste states accepts names or codes separated by commas, semicolons or new lines, and unrecognized entries must be corrected before saving. A warning lists any state another active owner already covers. How territory routing works explains dialer and AI email booking routing. Not shown in a self-serve workspace.
Deactivate / Activate
Management view only: turns an owner off or back on for new bookings.
Delete
Management view only: appears only for an owner with no assigned contacts, booked or not, and removes them. Otherwise deactivate the owner instead.

Common questions

Where did Meeting Owners and Meeting Reminders go in navigation?
Open Settings > Meeting Settings. Internal SDRs see the active-owner reference directory. Other authorized users see Owners, Reminders and Outcome Email together.
Are meeting workflows campaign-specific?
Owners, reminders, and the post-meeting outcome email are configured for the selected deal, so they are consistent across its campaigns.
Can I change tabs without changing the selected client?
In the management view, the same selected client remains in scope across the three tabs. Internal SDRs use the owner directory and View calendar links and booking instructions link to Scheduling instead.
Why can I see an owner but not edit their details?
The internal SDR directory is read-only. Ask your manager or strategist to update owner details or meeting settings. Viewing an owner or copying their scheduling link does not change meeting routing.
How do territory states work?
Each owner can cover a list of US states (Puerto Rico is also accepted). When an SDR books a meeting in the dialer and no owner is chosen yet, SalesHive picks the active owner with an email whose territory includes the prospect's company state, or the person's state when the company state is blank. The SDR sees Matched by territory and can change the pick. If two active owners cover the same state, nobody is preselected there. The Territory states picker names the other owner before you save, and saving an edit warns again. A self-serve workspace has no dialer, so it does not see Territory states or an owner's Territory line. Agents booking on a shared Microsoft Bookings page (not a personal bookwithme link) choose the staff member the same way: the prospect's assigned meeting owner first, then an active owner whose name matches the prospect's Sales Rep, then territory, or the only active owner when no territories are set. If that does not give exactly one active owner with an email, they offer no times and leave the booking for a person; they never choose Anyone or another rep. If the owner or location changes after times were offered, new times are read for the correct owner before booking.
What does the meeting count on each owner mean?
It counts that owner's booked meetings, the same way the Meetings with Owner number at the top does. Contacts assigned to an owner without a booked meeting are not counted there, but they still stop you from deleting that owner.
