Overview

Deliverability shows seven days of selected-client sending health by default, including human-likely engagement, authentication, mailbox health, and controlled inbox-placement evidence. Employees also see the client send plan and a daily mailbox audit with first-party outcomes, Google Postmaster reputation, provider-complete placement status, a specific next action, deterministic copy rules, and a cached AI review of current sampled outreach content. Client users can review their own available health and placement results but cannot start tests or view staff-only mailbox evidence.

How to use this page

  1. Select the client and date range

Choose a client from the global selector. The dashboard opens on the last 7 days. Use 7d, 30d, or 90d, or set inclusive From and To dates up to today. The selected reporting window applies to health totals and trend charts.

  2. Review the employee mailbox audit

Employees see Mailbox deliverability audit above the health dashboard when All Domains is selected. The latest daily snapshot summarizes Healthy, Needs review, Critical, Not enough evidence, total Mailboxes, warming inspection, authentication, first-party reputation coverage, and recent Google Postmaster evidence. AI copy reviewed shows the share of audited mailboxes whose current sampled outreach fingerprint has completed the cached content review.

  3. Find a mailbox diagnosis and next action

Use Search or the health filters to narrow the employee mailbox audit. Each request loads up to 25 mailbox rows. Use Previous and Next to move through the full filtered result without changing the current search or diagnosis filter. Review provider, role, domain lifecycle, campaign, authentication, placement, warming, volume, first-party and Google evidence, content rules, AI review, likely cause, confidence, and the recommended next action.

  4. Read provider-complete placement evidence

Mailbox audit placement uses neutral controls from tests completed within seven days. A result needs at least four resolved controls and at least 95% control coverage; otherwise placement stays Not enough evidence. Only a test with readable Google Workspace and Microsoft 365 controls can show placement as healthy. A Google-only test can still flag a problem: half or more of its Google controls in spam marks the mailbox Critical, and any spam marks it Needs review. A clean Google-only test stays Not enough evidence, because Gmail alone cannot show a mailbox is healthy with every provider. Representative campaign-copy results remain separate from the neutral sender evidence. Test-inbox copies of the mailbox's real emails over the last 4 and 14 days (or its sending domain's copies when it has too few) also count: the diagnosis uses the worse of the two readings. The score under placement comes only from the control test. Sending and automatic volume checks also assess the last 4 days of normal campaign copies separately from recovery tests. Clean recovery tests cannot cancel a warning or stop from those campaign copies, so an improved audit reading alone does not guarantee sending will resume.

  5. Compare first-party and Google reputation

First Party shows attributable sending outcomes. Google shows domain-level reported metrics separately from collection status. Check the reporting date and available values before changing sending settings. Google auth rates measure reported traffic; DNS SPF pass, DNS DKIM pass and DNS DMARC pass measure setup. Neither is an inbox-placement score. No flagged reported metrics does not prove every prospect received the message in their inbox.

  6. Filter by sending domain

Choose a sending domain to narrow sending and warmup activity. Use All Domains for complete client totals and the employee mailbox audit. New provider-received bounce and unsubscribe evidence can be tied to the exact mailbox, while older or ambiguous records may remain unavailable for one domain.

  7. Read the health summary

Review Emails sent, Hard bounce rate, Human-likely open rate, Unsubscribe rate, Warmup spam placement, and Mailboxes. Human-likely opens exclude known image proxies, bots, and security scanners. Opens remain directional and are not an inbox-placement score.

  8. Inspect trends and authentication

Use the charts for daily volume, delivery failures and opt-outs, human-likely engagement, and bounce trend. Provider rows separate Human-like, Proxy, and Scanner rates. Review SPF, DMARC, DKIM, domain setup, and mailbox recommendations before changing sending.

  9. Review the client send plan

Employees may see the weekly goal, seven-day pace, Safe cap per week, Protected per day, and goal comparisons. Safe capacity comes from active mailboxes linked to a running cadence across five sending weekdays.

  10. Run and interpret a placement test

Employees explicitly choose an active, transport-ready Sender, Primary or SDR mailbox from Test mailbox. Eligible connected Google Workspace, Microsoft 365 and SMTP/IMAP mailboxes may appear. Mailboxes needing reauthentication or an unhealthy required connection stay out of the list. Run placement test sends a neutral control and representative campaign copy to available Google Workspace and Microsoft 365 seed inboxes. Results identify provider and Control or Campaign probe, report Primary, tab, Spam or Not delivered, and may show a likely cause with evidence confidence. Manual SDR tests are observation only: they do not automatically change sending limits or pause the mailbox. The tag beside Inbox placement test names the providers the latest test reached: Google + Microsoft, Google only or Microsoft only. A Google-only test adds a note that Outlook and Microsoft 365 placement was not measured. The result line says when the latest test ran, and a result older than 14 days carries a note that it may not reflect where your email lands today. Client users can review available results but cannot start a test.

  11. Separate evidence coverage from delivery health

In the employee mailbox audit, mailbox assessment shows the share assessed healthy and the review, critical and unknown groups. Warming inspected, Sending evidence coverage, Google data coverage and AI copy reviewed measure how much evidence is available. Neutral coverage bars do not grade provider health. Google evidence counts separate reported metrics, no published data, access requirements, collection errors and missing snapshots. Use provider-specific isolated placement tests alongside real sending outcomes. Warming interactions, spam rescues and one test inbox cannot establish inbox delivery to every prospect. Running the audit only refreshes the assessment from stored evidence.

What the buttons do

7d / 30d / 90d
Loads a preset date range for the selected client.
From / To
Sets a custom dashboard date range.
Sending domain
Narrows sending and warmup activity to one client-owned domain.
All mailboxes and health filters
Filters the employee mailbox audit by evidence-based health status.
Search
Searches the employee mailbox audit by mailbox or domain.
Refresh mailbox audits
Reloads the selected client's latest stored daily snapshot.
Client send plan
Employee-only summary of weekly goal, pace, safe capacity, and protected capacity.
Run placement test
Employee-only control that sends neutral and representative probes from the explicitly selected eligible Sender, Primary or SDR mailbox. SDR tests report results without automatically changing sending limits.
No action needed / Action queue
Summarizes whether current client deliverability signals need review. It does not change sending by itself.
Pause outreach / Throttle / Scale
Employee-only one-click actions on eligible mailbox recommendations, with Undo when available. Throttle halves the daily cap with a 20/day floor and never raises it. Scale raises the cap by about a quarter, but Scale and Undo never set an outbound cap above 150 a day; check the saved result. A manual throttle, pause or reduction stays protected during automatic recovery. If automation later cuts the cap further, recovery cannot raise it above the earlier human limit. Only a later change by a person revises that limit.
Retry
Reloads the dashboard after a failed request.
Previous / Next
Moves through employee mailbox-audit results in pages of up to 25 rows while preserving the current search and diagnosis filter.

Common questions

Whose data does this page show?
Only the selected client. Client users cannot request another client's view.
Who sees the mailbox audit?
Employees see the selected-client mailbox audit when All Domains is selected. Client users continue to see their authorized health and placement results without the staff-only account-level audit.
What does AI copy reviewed mean?
It is the share of audited mailboxes whose current sampled outreach fingerprint has completed the cached content review. A completed row shows a separate 0 to 100 AI score and one copy issue or summary alongside the deterministic rules score.
Why can AI review say queued or unavailable?
Queued means the current sampled copy is waiting for background review. Unavailable means there was not enough stored copy, the current evidence has no completed review, or the review could not complete. Authentication, reputation, placement, and protection evidence remain separate.
Can a client run an inbox placement test?
No. Client users can review available results, while only employees can choose a mailbox and start a controlled test.
Why are there Control and Campaign results?
The neutral control helps separate infrastructure and authentication issues from copy-specific issues. The Campaign probe adds current outreach content evidence: it uses the mailbox's most recently updated active step from an active Auto-Cadence or Email Sender Agent campaign it sends for. When the mailbox has no such step, the test sends only the control. Available Google Workspace and Microsoft 365 seeds are labeled separately. The daily volume pass also checks representative campaign-copy spam separately from the combined weekly result when each has at least 5 known results. It uses the worse rate, so clean controls cannot hide failing campaign copy or justify a volume increase.
Why can placement say Not enough evidence after a completed test?
A completed test can have too few readable neutral-control results, or results from Google Workspace only. A clean Google-only test stays Not enough evidence, because Gmail alone cannot show a mailbox is healthy with every provider. If its Google results land in spam, the mailbox is flagged Needs review or Critical instead.
Can incomplete provider evidence trigger protection?
No. Missing provider coverage stays neutral and cannot trigger automatic mailbox protection.
What does the likely cause mean?
It is SalesHive's diagnosis from available authentication, first-party outcomes, Google Postmaster evidence, placement, warming, volume, and content evidence. The confidence percentage shows how much current evidence supports that diagnosis, and the row gives one next action.
What does Sending evidence coverage mean?
It is the share of audited mailboxes with enough attributable recent outcome evidence to assess first-party reputation. It measures evidence coverage, not mailbox health.
What does Google data coverage mean?
It is the share of audited mailboxes with usable reported Google metrics. Google reports domain-level traffic to personal Gmail accounts, shared by mailboxes on that domain. Low-volume domains may have no published data. Verification grants access but does not guarantee metrics. This percentage is evidence coverage, not inbox success or the share of healthy mailboxes.
What do the Google evidence labels mean?
No published data means Google returned no metrics for the requested period. Verification or access required means domain ownership or reporting-account access needs attention. Collection failed means the reporting connection needs repair and delivery health remains unknown. No usable snapshot requires checking enrollment and the latest collection. Reported metrics need review or urgent review refers to available provider metrics, not a failed collection.
Why can reputation say Not enough evidence?
A mailbox needs at least 50 recent sends and safely attributable bounce and unsubscribe signals. Historical or ambiguous client-level signals stay unattributed instead of creating a false mailbox score. A bounce rate of 3% or more is critical from 50 sends; below 50 sends it shows as a warning instead.
Does the TLD label grade the domain?
No. The suffix and managed-domain lifecycle are context only. SalesHive does not assign a quality score from the TLD by itself.
What does Safe cap per week mean?
It is the configured weekly maximum for active mailboxes linked to a running cadence, based on five sending weekdays. It is separate from actual seven-day sending.
Why can bounce or unsubscribe values be unavailable for one domain?
New provider-received signals can be tied to the exact receiving mailbox. Older records and ambiguous client-level signals may not identify one mailbox, so SalesHive leaves them unattributed and All Domains retains the complete client totals.
Why are proxy and scanner opens separate?
Image proxies, bots, and security scanners can load a tracking pixel without a person reading the message. SalesHive excludes those events from the Human-likely open rate while keeping their counts visible.
What is the difference from Fleet Deliverability?
This page is scoped to one selected client. Fleet Deliverability is an employee-only CRM Operations workspace for comparing and triaging current clients.
Which mailboxes appear in Test mailbox?
The list can include active Sender, Primary and SDR mailboxes using delegated or connected Google Workspace, Microsoft 365, or SMTP/IMAP transport. A mailbox that needs reauthentication or lacks its required healthy connection stays out of the picker until it is ready.
Why do I see only 25 mailbox rows?
The mailbox audit loads up to 25 matching rows at a time to keep the page responsive. Use Previous and Next for the remaining rows. Search and diagnosis filters apply before pagination.
Does one warming message in spam require lower volume?
Not by itself. The mailbox audit needs at least 50 inspected warming messages and 60% inspection coverage before applying spam-rate thresholds: 5% for a warning and 10% for critical. Review the diagnosis and recommended next action alongside authentication and placement evidence. After an agent has already reduced warming or paused the mailbox, another agent warming reduction requires newer failed placement evidence for that mailbox. A new daily audit, clean control or reinspection of an older copy is not enough. Without a newer inspected copy in spam or a newer completed placement test with spam results, the action preserves the current settings and tells the agent to report Routine.
What if a placement probe could not be sent or inspected?
The test diagnosis identifies the measurement failure and asks staff to repair seed access and rerun before changing volume. A probe that could not be inspected is not proof that the message landed in spam.
Is missing Google data the same as a collection failure?
No. A successful collection without published metrics stays neutral. A collection or permission error leaves delivery health unconfirmed and produces a repair recommendation in the employee mailbox audit. Follow that next action before changing volume.
Does low coverage mean poor inbox placement?
No. Coverage says what SalesHive can measure. Missing Google metrics or incomplete inspection is not a failed delivery test. Review the separate diagnosis, dated provider evidence and placement results before deciding what action is needed.
Do manual SDR tests change automatic monitoring?
No. They remain separate from scheduled Sender and Primary placement coverage and do not trigger automatic sending-limit changes or mailbox pauses. A result describes the tested messages, not every prospect inbox.
Why does a mailbox in spam show Keep outreach low instead of a Throttle button?
Its cap is already at or below the 20/day throttle floor, so halving cannot lower it. Leave the cap where it is, keep the mailbox warming until placement recovers, and pause outreach if spam placement keeps climbing.
Why does the Action queue say to confirm a domain was renewed?
The sending domain's expiry date on file has already passed, but the domain is still marked active. That is usually a stale date: an auto-renewed domain keeps its old date here until the daily registry recheck updates it. The item names the date on file and when the registry was last checked. Check the current expiry at the registrar. Renew the domain if it truly lapsed; if it was renewed, no action is needed. A date that has not passed yet still shows as Renew. The Action queue is shown to SalesHive employees only.
Why does the placement card say the test may not reflect where my email lands today?
The card always shows the most recent test, whenever it ran. When that test is more than 14 days old, a note gives its date so an old result is not read as today's inbox placement. An employee can run a new test from this page.
